We are recruiting an administrative support Assistant for a public sector client: To provide administrative support to frontline staff. Deal sensitively with all enquires, assessing needs and providing the most appropriate response including advice and guidance, signposting to other sources of help and involving other internal and external professionals as necessary.
To lead on the tracking of data and collecting, collating, scrutinising, interpreting and producing outputs and be responsible for implementing follow up actions and distributing information. To be responsible for producing statistical data used to monitor and improve data quality and the quality of service which can be used by a wider audience. To be responsible for the accurate complex calculations of payments to all agencies and service users and to ensure all purchase orders are created on the system accurately against the child’s record such as petty cash, placements and any invoices from agencies. To undertake minutes of meetings to a high level of standards, this may include sending invites and distribution of any documentations. To provide confidential, administrative support to the team including answering telephone enquiries, diary management, the arrangement of meetings, minute taking, prioritising and answering routine correspondence and e-mails as directed.
Qualification – Essential
GCSE’s, Grades A-C or equivalent to include Maths and English
NVQ Business Administration Level 3, BTEC or equivalent
RSA, Pitmans qualification
Advanced – Microsoft; Word, PowerPoint, – Excel & Outlook – essential
Skills, Abilities & Experience – Essential
Proven experience of working in a busy office environment.
Advanced Windows-based packages with experience of working on large data sheets
Experience of dealing with the public over the phone and in-person
Proven ability to type at least 55 WPM with consistent accuracy – essential
Proven experience of working accurately with complex calculations of payments and purchase orders
Good experience of dealing with petty cash, and invoices
Recent hands-on experience of undertaking minutes of meetings to a high level include sending invites and distribution of any documentations
Advanced ICT skills with proven Word processing and data management experience
Experience of dealing with the public face to face the telephone, Email, Social Media
Some experience working within Children Services Social Care Department- preferred
Ability to cope with highly sensitive, sometimes distressing, information when dealing with clients
Able to work quickly and accurately to deadlines
Excellent communication skills across different groups and organisations and a polite and courteous telephone manner with excellent customer service skills.
Ability to work quickly and accurately and be able to adapt to changes in levels of workload and priorities
Ability to work well within a team and also alone – essential
Enhanced CRB/DBS; on the disclosure & barring service update system
Able to provide Five Years of references – required
